Parties and Contract Type

This Employment Contract is made between the Employer, a coffee shop operator conducting business from its registered retail premises, and the Employee identified below. The Employer runs a specialty coffee service requiring baristas, shift supervisors, and support staff trained in espresso preparation, customer engagement, and retail product knowledge.

The Employee joins on a permanent contract beginning on the Start Date recorded in Schedule 1. All terms herein are governed by applicable employment legislation in the jurisdiction where the coffee shop operates. This document replaces any previous offer letters, verbal promises, or informal working arrangements between the parties.

The coffee shop sector operates on early morning openings, weekend trade, and seasonal drink rotations. Both parties agree that operational flexibility is fundamental to the business, and this contract has been drafted to accommodate those patterns while safeguarding fair working conditions.

Term, Probation, and Probation Review

The Employee's engagement begins on the Start Date on a permanent basis, subject to a probationary period of three months. During this window, the Employer will evaluate the Employee's ability to prepare beverages to the shop's quality standards, maintain consistent customer service, and operate the POS system and brewing equipment safely.

Either party may end the employment during probation by giving the statutory minimum notice required by law. The Employer will schedule at least one structured review meeting during the probation period to discuss progress, address any training gaps in latte art or equipment maintenance, and set targets for the remaining weeks.

Successful completion of probation confirms the Employee in their role with full contractual protections, including the longer notice period set out later in this agreement. Where concerns exist, the Employer reserves the right to extend probation by up to three months with written notification before the original period concludes.

Duties, Role, and Exclusivity

The Employee shall carry out duties including espresso preparation, customer order management, stock rotation, and maintaining cleanliness standards. Outside employment that conflicts with the coffee shop's operating hours or competes with its products requires prior written consent.

Remuneration, Benefits, and Pay

Salary is paid monthly in arrears at the gross rate specified in Schedule 1. The Employee may be eligible for shift premiums on early morning or weekend openings. Staff discounts on beverages and food items are provided per the shop's internal policy.

Working Time, Location, and Hours

The coffee shop opens as early as 6:00 AM, and shift patterns are published weekly. The Employee's primary workplace is the shop premises, though temporary reassignment to pop-up locations or partner venues may be required with reasonable notice.

Why coffee shop businesses need a employment contract

Coffee Shop employees often handle sensitive information, operate specialised equipment, or interact directly with customers, making role-specific employment contracts essential. A coffee shop employment contract must address industry-standard working patterns, health and safety obligations, and any required certifications or training. Restrictive covenants like non-compete and non-solicitation clauses need to be calibrated to coffee shop market norms to be enforceable.

What makes coffee shop planning different

Coffee shops live and die on two numbers: average transaction value and daily cup count. A flat white costs £0.50-£0.80 to make and sells for £3.20-£4.00. That 75-85% gross margin looks attractive until you factor in rent, labour, utilities, and the reality that most shops need 200+ cups per day to break even in a city-centre location.

The morning rush (7-10am) typically accounts for 40-50% of daily revenue. The lunch window (12-2pm) adds another 20-25%. After 2pm, most coffee shops see a steep drop. If your rent is calculated assuming all-day traffic, you need a strategy for the afternoon slump. Co-working appeal, food menu expansion, or evening events can fill that gap.

Fit-out costs consistently surprise first-time coffee shop owners. A bare shell needs plumbing for the espresso machine (three-phase electrical, dedicated water line, drainage), ventilation for food prep, and enough design work to create the atmosphere that justifies your prices. Budget £500-£1,000 per square metre for fit-out. A 1,000 sq ft shop could cost £50,000-£100,000 before you buy a single coffee bean.

Equipment is the second largest capital expense after fit-out. A commercial espresso machine costs £5,000-£20,000. Grinders run £1,000-£3,000 each (you need at least two). Refrigeration, dishwasher, point-of-sale system, and furniture add another £10,000-£25,000. Buy quality equipment that matches your projected volume. Upgrading mid-operation is expensive and disruptive.

Supplier relationships define your product quality and margins. Your coffee roaster is your most important supplier. Negotiate terms based on volume commitments. A 500g bag of specialty beans costs £8-£15 wholesale and yields approximately 30 double shots. At £3.50 per flat white, that's £105 revenue from £12 in beans. The margin is there if your other costs are controlled.

Coffee Shop business plan FAQ

How much does it cost to open a coffee shop in the UK

A small independent coffee shop in the UK costs £40,000-£100,000 to open. A larger operation in a prime location with full kitchen can exceed £200,000. The main costs are fit-out (40-50% of total), equipment (20-30%), and working capital to cover losses during the first 3-6 months of trading.

How many cups of coffee does a shop need to sell to break even

This depends on your fixed costs and average transaction value. A coffee shop with £5,000 per month rent and £8,000 total monthly fixed costs, selling at an average of £3.50 per transaction with 70% gross margin, needs approximately 110 transactions per day to break even. Most profitable independent shops sell 200-400 cups daily.

Is a coffee shop a good investment

A well-run independent coffee shop generates 5-15% net profit margins once established. That translates to £20,000-£60,000 annual profit on £300,000-£400,000 revenue. The risk is high in the first 12 months when you are building a customer base. Location quality and operational discipline are the two biggest determinants of success.
