By signing a service agreement, paying a deposit, or instructing us to proceed with any planning activity, you accept these terms in full.

Our team manages events from initial concept through to execution and post-event wrap-up. Services include venue sourcing, supplier coordination, logistics planning, on-the-day management, guest registration, and budget tracking. The specific scope of work for your event is defined in the service agreement issued after our discovery consultation.

Event planning timelines vary depending on scale and complexity. We recommend engaging us at least three months before your event date for full-service planning, though shorter lead times can be accommodated subject to availability and a rush fee. Timelines, milestones, and deliverables are documented in your project plan.

These terms supplement but do not replace the specific service agreement for your event. Where a conflict exists between these general terms and your service agreement, the service agreement prevails. We may update these general terms periodically, and the current version is available on our website.

Scope of Services

Full-service packages cover concept development, venue selection, vendor procurement, timeline creation, budget management, invitation design coordination, on-site event management, and post-event reporting. Partial planning packages are available for clients who need support with specific elements only.

Vendor relationships are managed on your behalf. We negotiate with caterers, florists, entertainers, AV technicians, photographers, and other suppliers based on your brief and budget. Contracts with third-party vendors are between you and the vendor. We act as your agent in coordinating these relationships but are not a party to those contracts.

On-the-day coordination includes venue setup oversight, vendor arrival management, timeline enforcement, guest flow management, and troubleshooting. Our team remains on-site from load-in to the agreed departure time. Extended hours beyond the contracted period are charged at our published hourly rate.

Payment is structured as an initial non-refundable retainer, progress payments at agreed milestones, and a final balance due fourteen days before the event. Late payments may result in paused planning activity until the account is brought current.

Acceptable Use

Clients must provide accurate guest counts, dietary requirements, and accessibility needs by the agreed deadlines. Failure to supply timely information may affect our ability to deliver the agreed scope. We are not responsible for outcomes affected by late or inaccurate client-supplied information.

Intellectual Property

Event concepts, design presentations, mood boards, planning documents, and all creative materials developed by Evermark Events remain our intellectual property until full payment is received. Upon final settlement, design materials specific to your event are licensed to you for personal, non-commercial use only.

Limitation of Liability and Indemnities

Our liability for any claim relating to event planning or coordination services is capped at the total fees paid to us for that event. We are not liable for third-party vendor failures, weather disruptions, venue closures, or any circumstance beyond our reasonable control that affects the event.
